SUMMARY
The Commercial Property Manager (CPM) manages the day-to-day performance of an assigned portfolio within Urban Land Conservancy’s (ULC) diverse real estate portfolio. The CPM leads leasing and lease administration, builds strong tenant relationships, monitors property financial performance, and coordinates with internal staff and external vendors to support well-operated properties that advance ULC’s mission and benefit nonprofit tenants and surrounding communities.
DUTIES & RESPONSIBILITIES
The CPM independently manages an assigned portfolio as a member of ULC’s Asset Management Team. Key responsibilities include:
Leasing and Tenant Acquisition
- Oversee the marketing, showing, and leasing up of vacant office suites, either utilizing in-house capacity or in collaboration with leasing agents/companies.
- Develop and implement leasing strategies to reduce vacancy and stabilize underperforming properties.
- Identify prospective tenants whose proposed use aligns with ULC’s mission and is compatible with existing building operations.
- Negotiate and execute mutually beneficial lease terms with prospective tenants, with guidance from the Director of Property Operations.
- Quickly obtain bids for tenant improvements to be used in lease negotiations.
- Obtain, review, and approve tenant applications in accordance with established criteria, including financial capacity, nonprofit status when applicable, permitted use, and compatibility with existing building operations.
- Clearly explain tenant and landlord responsibilities to the tenant and appropriate maintenance staff before lease execution.
- Prepare accurate lease drafts for review by other property managers and review lease drafts prepared by colleagues for accuracy, consistency, and completeness.
Lease Management
- Understand, summarize, and enforce lease terms.
- Create, execute, and file all necessary lease documents.
- Maintain complete and current lease records and ensure property and lease data are entered accurately in Yardi.
- Ensure tenants, ULC maintenance staff, and vendors understand their respective repair and maintenance responsibilities under each lease.
- Negotiate and manage the lease renewal process.
Property Management
- Create and manage strong working relationships with tenants.
- Maintain current building operations documentation, including access and security procedures, emergency response plans, shared-space protocols, key schedules, and lock-box records.
- Maintain accurate building floor plans.
- Conduct regular property inspections; identify maintenance, life-safety, and capital improvement needs; document findings; and coordinate follow-up with maintenance staff, vendors, and the Director of Property Operations.
- Prepare annual property revenue budgets and periodic forecasts in coordination with the Director of Property Operations and other appropriate staff.
- Monitor property financial performance, including revenue, vacancy, delinquencies, operating expenses, and net operating income, and develop and implement corrective strategies when performance varies from budget.
- Identify and implement programs that benefit nonprofit tenants and strengthen the value of tenancy at ULC properties.
- Provide day-to-day direction and oversight to an Assistant Property Manager, if assigned, including delegation, coordination, and review of work.
- Ensure communication with tenants is clear, consistent, and culturally appropriate to the populations served.
- Coordinate tenant onboarding and move-in activities, ensuring tenants understand their lease obligations, building rules, emergency and security procedures, maintenance-request process, and online portal registration.
- Coordinate and complete move-out activities in a timely manner, with support from the Assistant Property Manager when assigned.
Collaboration & Team Participation
- Support other property managers, asset management team members, or other ULC staff as requested
- Serve as main point of contact for questions on lease terms for all leases in the PM’s portfolio
- Collaborate with other ULC departments on grant applications, reporting, marketing, and internal and external events.
- Prepare periodic reports for management and the Board of Directors on occupancy, leasing activity, tenant issues, financial performance, capital needs, and other significant portfolio matters.
- Coordinate with accounting staff to monitor tenant receivables, follow up on delinquencies, resolve billing questions, and administer lease-compliant collection actions.

- Property Management Expertise: Deep understanding of property management principles, practices, and regulations for commercial properties, including lease administration, tenant relations, and financial reporting.
- Financial Acumen: Strong financial management skills, including budgeting, financial analysis, and reporting.
- Digital Proficiency: Advanced ability to use Microsoft 365, Google Workspace, and Yardi Voyager or other property management software.
- Communication & Collaboration: Excellent written and verbal communication skills. Demonstrated ability to collaborate effectively with internal and external stakeholders, especially tenants.

PHYSICAL DEMANDS
The position is primarily sedentary and requires extended computer use and verbal and written communication. It also requires occasional standing, walking, reaching, bending, and lifting or carrying items up to 25 pounds. - Primarily office setting: The majority of work is performed in a typical office environment.
- Regular site visits: Regular travel to properties within the Denver Metro area is required, involving exposure to various indoor and outdoor environments, including:
- Building interiors (offices, common areas, mechanical rooms)
- Construction sites
- Outdoor areas (parking lots, grounds)
- Potential hazards: May occasionally encounter moving mechanical parts, electrical hazards, heights, and potentially hazardous materials during site visits. Appropriate safety precautions and training will be provided.
- Noise levels: Noise levels can vary from quiet office environments to moderate noise levels during site visits or construction activities.
QUALIFICATIONS
A combination of education and experience demonstrating the required knowledge, skills, and abilities may be considered. Relevant experience may include paid employment, on-the-job training, self-directed learning, volunteer service, or community involvement that demonstrates the competencies required for the position.
REQUIRED:
- Education: High school diploma or equivalent (GED).
- Experience:
- Three (3) years of progressively responsible experience in commercial property management, including direct experience drafting, negotiating, administering, and enforcing commercial leases; managing tenant relationships; and monitoring property-level financial performance.
- Preferred: Familiarity with Yardi Voyager or comparable property management software.
- Experience with the nonprofit sector, community development, or social justice is preferred.
- Other: Valid driver’s license and ability to be insured under ULC’s auto insurance policy, ability to satisfactorily pass a criminal background check.
COMPENSATION AND BENEFITS
ULC offers the following compensation and benefits:
- Salary: The salary range for this position is $70,000 – $85,000 per year, commensurate with experience, qualifications, and demonstrated skills.
- Work Schedule: This is a full-time, 37.5-hour per week position with options for flexible or alternative work schedules, subject to operational needs and management approval.
- Pay Frequency: Employees are paid bi-weekly.
